Civic Space is a Technical Assistance Project funded by the European Union (EU) under the Aid Programme for the Turkish Cypriot community. It aims at contributing to build in the Turkish Cypriot community (TCc), a stronger civil society, which supports democratic changes and confidence-building measures.

Job Description
Management of Civic Space Activities and Events:
– Making sure all the content is in place on time and with the relevant EU methodology: agenda, presentation, documentation
– Making sure all necessary technical needs are in place during events and activities: projection, sound system, equipment, etc.
– Outreach to target groups about the event. (via social media, phone calls, messages or e-mail) and ensuring participation (registration, follow up, etc.).
Communication and Visibility:
– Social media monitoring
– Replying messages received on Social Media/WhatsApp, Mailing system, MIS, etc. ensuring timely responses and effective communication with the project audience.
– Keeping clean and detailed contact records and inputting the information to Mailchimp.
– Communication and visibility helpdesks to Civil Society Organisations
– Regular updates of the physical and digital library.
– Proofreading and editing project outputs, including sensitive language checks.
– Grow Civic Program visibility checks
Logistic Tasks:
Primary responsible for the organization and logistics of project activities (e.g., meetings, events, training, workshops, travel, study visits).
Maintenance and presentation of the office.
IT support to the team and contact with technical providers.
Administrative Tasks:
– Administrative management of the project according to EU rules.
– Assisting experts with administrative support.
– Keeping organized, filing and creating new contact lists.
– Organizing participation logs and entering data and produce analysis
– Keeping neat and detailed contact records and inputting the information to Mailchimp.
Support and Implementation Tasks:
– Organization and management of working groups (youth, environment, enabling environment, etc.).
– Management of the pool of experts, mentors, trainers, and providers.
– Conduct preliminary research or gather background information as requested by experts
Monitoring and Archives:
– Archiving and regularly updating project documentation folders.
– Updating data for trimonthly and interim reports (social media, financial consumption, expert days, outreach and participation of beneficiaries, helpdesk, etc.).
– Creating useful logs and monitoring tables.
– Collecting experts’ timesheets, mission reports, etc. (Secondary Officer)
– Promotional material inventory keeping and monitoring also required for reporting
– Making sure all promotional materials are in line with the EU visibility rules.
– Making sure all necessary promotional materials are in stock before events and workshops.
Other Tasks:
– Translation and interpretation.
– Collecting documents and communications issued by EUPSO when required.
– Participating in meetings with the team and beneficiaries and taking minutes (if requested by the Team Leader).
– Promotional material inventory keeping and organization
Requirements
Education & Experience:
– Bachelor’s degree in Communications, Event Management, Public Relations, Social Sciences or a related field.
– At least 2 years of work
– At least one year experience in event management, communications, or a similar role.
– Experience in working with EU-funded projects is an asset.
Technical Skills:
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
– Basic IT support skills and ability to liaise with technical providers.
– Experience in social media management, including monitoring and responding to messages.
– Familiarity with Mailchimp or similar email marketing tools.
Organizational Skills:
– Strong organizational skills with the ability to manage multiple tasks simultaneously.
– Experience in logistical coordination for events, including booking venues, managing equipment, and ensuring timely delivery of materials.
– Ability to maintain detailed records, create logs, and update project documentation consistently.
Communication Skills:
– Excellent written and verbal communication skills in English and Turkish
– Ability to proofread and edit documents, ensuring accuracy and adherence to EU standards.
– Experience in managing outreach activities and engaging with target groups.
– Written and verbal communication skills in Greek are an asset
Interpersonal Skills:
– Ability to work collaboratively in a team environment and interact with various stakeholders, including experts, trainers, and beneficiaries.
– Strong customer service skills with a focus on timely and effective communication.
– Ability to participate in meetings, take minutes, and contribute to discussions.
Attention to Detail:
– High attention to detail, particularly in maintaining accurate contact records, monitoring promotional materials, and ensuring compliance with EU visibility rules.
– Ability to archive and regularly update project documentation, ensuring it is accessible and well-organized.
Flexibility & Adaptability:
– Ability to adapt to changing priorities and work effectively under pressure.
– Willingness to perform additional tasks as needed, including translation, interpretation, and inventory management.
